Website Request Forms and Maintenance Plan Sign-Ups in HVAC Software

Plenty of HVAC calls now start on a phone screen at 9pm, not on a phone call at 9am. A homeowner notices the upstairs is warm, searches for a local heating and air company, lands on your website, and either fills in a form or moves on to the next result. What happens to that form after they hit submit decides whether you get the job.

The Front Door Before the Estimate

Estimates are where a lot of HVAC work gets sold, as covered in HVAC Estimates With Online Approval: From Quote to Scheduled Job. Website forms are how many of those customers arrive in the first place. HVACBossPro has two: a request form for service and quotes, and a sign-up form for plans and services where the card is captured.

The Request Form

The request form is for anyone who wants you to come out or call them back: a repair, a tune-up, a replacement quote. It goes on your website and collects the basics: name, address, phone, email and what they need.

When someone submits it, the request lands in Form Responses in HVACBossPro. No email inbox to dig through, no forwarding from a website builder, no form that sends to an address nobody checks. The office opens Form Responses in the morning and sees every request that came in overnight.

From there the office calls or texts the customer back, and either books a service call or builds an estimate.

The Sign-Up Form

The sign-up form is for customers who are ready to commit, most often to a maintenance plan. It shows the services and pricing you choose to offer, for example a twice-a-year tune-up plan at $179 a year, and captures the customer's card as part of signing up.

That matters for HVAC because maintenance plans are the steadiest work most small shops have. A sign-up form that takes the card means the customer is a paying plan member before you ever speak to them. Their first tune-up comes due, the tech does it, and the card on file is already there for billing.

One Click From Response to Client

A sign-up in Form Responses can be converted into a client with one click. The name, address, contact details and card carry over, and the address is placed on the map. Add the equipment on the first visit and set the agreement's minimum days between visits (180 for spring and fall, 365 for yearly), and from then on their tune-ups come due on the Waiting List on their own.

No retyping the customer from an email. No card number read over the phone. No chance of the sign-up sitting in an inbox until the customer wonders whether anyone noticed.

Responding Fast

The value of a form depends on how quickly someone answers it. A few habits help small HVAC offices:

Where to Put the Forms

The forms only work if people find them. On a small HVAC website, a few placements cover most visitors:

Keep the forms short. Every extra field is a reason for a tired homeowner to give up.

Requests From Existing Customers

Website forms are mostly for new customers. Existing customers have an easier route: the customer app, where they can request service or sign up for a plan without filling in their address again. Point regular customers there, in confirmation texts and on invoices, and keep the website forms for people finding you for the first time.

Forms, Texts and the Rest of the System

Once a form becomes a client, everything else takes over: reminders, the customer app, the Waiting List for plan visits, invoices and the card on file. The next guide looks at the texting side in detail: Two-Way Texting and Automatic Alerts in HVAC Software. To see how forms fit into the whole system, visit the HVAC software page.

Turn Website Visitors Into Plan Customers
