HVAC Estimates With Online Approval: From Quote to Scheduled Job

An HVAC estimate has a short shelf life. The customer is hot, or cold, and they want an answer. A quote written on a carbon pad and left on the kitchen counter competes with whoever calls them back first. A quote that lands on their phone, clear and itemized, with a button to approve it, gets decided while the problem is still on their mind.

Where Estimates Come From

Many estimates start in the customer app or on a service call. The HVAC Customer App: Live Route Map, Service Requests and Online Payment covered how customers request service. When the tech gets there and finds more than a quick fix, an estimate is the next step.

Others start from a phone call: a homeowner whose system is old and wants a replacement price, or a property manager who wants a quote for a building.

Built From Your Own Service List

In HVACBossPro, estimates are built from your service list, which you set up with your own services and prices. A typical small HVAC shop might list:

Whatever you sell goes on the list, at your price, for example an $89 diagnostic or a $99 tune-up. Building an estimate is a matter of picking lines and adjusting quantities, not typing descriptions from scratch every time. The prices stay consistent from tech to tech and from quote to invoice.

Equipment on the Estimate

Equipment details can be filled in on the estimate itself: system type, brand, model, tonnage and so on. That does two things.

First, it makes the quote clearer to the customer. A replacement estimate that names the system being installed, its tonnage and its location reads like a real plan, not a number.

Second, those details carry onto the job. When the customer approves and the work is done, the address already shows the new equipment. Nobody has to update the record after the install. For more on equipment fields, see Equipment Records on Every Job: System, Brand, Model, Serial, Tonnage and Filter Size.

Online Approval

Once the estimate is ready, it goes to the customer. They open it on their phone or computer, read through the line items, and approve it online. There is no printing, scanning or chasing signatures.

A few things make online approval work well for HVAC:

From Approval to the Schedule

When the customer approves, the approved estimate becomes the scheduled job. The line items, the equipment details and the address all carry over. The office puts it on a day and a van on the dispatch board, and it shows up on the tech's phone like any other job.

That removes the most common place estimates go wrong: the gap between “yes” and the work getting booked. No re-entering the job, no lost sticky note, no tech arriving without knowing what was agreed.

When the tech completes the job, the invoice is built from the same lines the customer approved, so there are no surprises on the bill.

Follow-Up Emails

Not every customer approves right away. Some want to think about it, talk to a spouse or get another quote. HVACBossPro sends estimate follow-up emails so the quote does not quietly die in their inbox. A polite reminder a few days later is often all it takes.

For bigger jobs like replacements, a personal text from the office through two-way texting is worth adding on top: “Hi, just checking if you had any questions on the estimate for the upstairs system.”

Estimates for Property Managers

Property managers often need approval from an owner before work goes ahead. An online estimate is easy for them to forward, and once approved it becomes a scheduled job at the right address under their account. When they are on monthly billing, the finished work lands on their monthly statement with the address on the line.

Estimates also tie into website forms and sign-ups, which come next in Website Request Forms and Maintenance Plan Sign-Ups in HVAC Software. To see how estimates fit with the rest of HVACBossPro, visit the HVAC software page.
