Reports by Account: Seeing What Each Commercial HVAC Customer Brings In
Every shop has a commercial account that feels like a great customer and another that feels like a headache. Feelings are not always right. Sometimes the headache account is quietly paying for a good part of the year, and the “great” account is a lot of driving for little billing. The only way to know is to look at the numbers account by account.
Why Look at Accounts One by One
Tags and custom fields, covered in Tags and Custom Fields for Commercial HVAC Accounts, sort your client list. Reports tell you what that list is worth.
A homeowner is one address and a few visits a year. A property manager might be thirty addresses, two tune-ups each, a dozen repair calls and a handful of turnovers. Without a report, the size of that relationship is spread across dozens of jobs and statements. With the one-client, many-addresses structure in HVACBossPro, all of that work rolls up to the account, so you can see the whole relationship in one place.
Questions Reports Answer
Reports by account help you answer the questions that matter when running a commercial book of business:
- How much did this property manager bring in over the last year?
- How much of it was recurring PM work, and how much was repairs?
- Which addresses under the account get the most service calls?
- Which accounts are paying slowly?
- How does our commercial work compare to our residential work?
None of these need a spreadsheet when the jobs, invoices and statements are already tied to the account.
Spot the Accounts Worth Growing
Some accounts are small today but could be much bigger. A landlord who only calls you for one of their six rentals. A manager who uses you for repairs but not for tune-ups. A restaurant group where you only service one location. Reports show you what you do for each account now, and comparing that to what the account owns tells you where the next conversation is.
An account with lots of repair calls and no maintenance plan is a natural candidate for quarterly or spring-and-fall visits. The pitch is easy: here is what you spent on emergency calls last year, and here is how regular visits could cut down the surprises.
Spot the Accounts That Need Repricing
Other accounts look busy but do not add up. Maybe the rentals are spread out across three counties, so every visit costs half a day of drive time. Maybe the manager keeps asking for after-hours visits at the regular rate. Maybe the account is slow to pay every month.
When the report shows an account bringing in less than the work it takes, you have options: adjust the pricing on your service list for that work, group its visits better on the dispatch board, or have an honest conversation at renewal. Without the report, you just keep doing the work and wondering why the month feels thin.
Look at Addresses Inside the Account
Because each address carries its own job history, you can also spot the problem properties inside a good account. One rental with a twenty-year-old system that needs a service call every month is costing the owner real money. Showing the manager that history, along with the equipment record and photos, is often what leads to a replacement quote. The equipment side is covered in Equipment Records per Unit and per Building for Commercial HVAC Accounts.
Bring the Numbers to Renewal
Commercial and property manager relationships often come up for review once a year. That is when a manager decides whether to keep you, shop you around or give you more. Walk into that conversation with what you did for them:
- How many visits you made across how many addresses.
- Which systems you kept running, and which you flagged as near the end of their life.
- The photos and statements that back it all up.
That turns a renewal from a price negotiation into a review of the value you delivered. Renewals are covered in Keeping Commercial and Property Manager HVAC Accounts Renewing Year After Year.
Make It a Monthly Habit
Reports only help if you look at them. Pick a day each month, maybe the day after statements go out, and spend fifteen minutes reviewing your commercial accounts. Who grew? Who slipped? Who is late? Small adjustments every month beat a painful cleanup once a year, and you will walk into every renewal already knowing the numbers.
