Keeping Commercial and Property Manager HVAC Accounts Renewing Year After Year
Winning a commercial account is hard. Keeping it should be easier, but plenty of shops lose good accounts without ever knowing why. The manager just stopped calling. Usually there was no single mistake. It was a slow pile-up of missed visits, confusing bills and unanswered questions. Renewals are won all year long, not at renewal time.
Accounts Are Lost Quietly
The way you handle a crisis, covered in No-Cooling Calls at Rental Properties: Handling Urgent Tenant Calls for Landlords, makes a big impression. But most accounts are lost in the ordinary weeks, not the emergencies.
A property manager rarely calls to complain. They notice that the spring visits came late again, that the bill was hard to read, that they had to ask twice for a photo. They do not say anything. Then a competitor stops by with a good pitch at the right moment, and the account is gone.
Never Miss a Scheduled Visit
The most basic promise you make to a commercial account is that the visits happen when they should. In HVACBossPro, recurring visits come due on their own based on the minimum days between visits: 90 for quarterly, 180 for spring and fall, 365 for yearly. Every due visit lands on the Waiting List map.
Watch the overdue color. A pin that turns overdue past the 7-day grace is a commercial customer about to notice. Make clearing overdue commercial pins part of the weekly routine, and the most common reason accounts drift away never happens.
Show the Work Every Time
Commercial customers are paying for work they rarely see. Before and after photos on every job, taken in the tech app and saved with the job, make that work visible. A manager who can show an owner a photo of a clean coil or a new filter is a manager with no reason to shop around.
Make photos a standard part of every commercial and rental job, not something techs do when they remember. The habits are covered in Proof-of-Service Photos Property Managers Actually Want From Their HVAC Company.
Make Billing Boring
Billing should be the least interesting part of your relationship. For accounts set to Monthly, one statement goes out each month covering every property, each line labeled with its address. Line items read the same every month because they come from your service list. PO numbers come from custom fields. Cards on file are charged on schedule.
When billing is predictable and clear, the manager never has a reason to look at it twice. When it is confusing, every statement is a reminder that maybe another company would be easier.
Communicate Before They Ask
Managers renew the vendors who keep them informed. A few short texts a month from the office go a long way:
- “Spring visits for your east side rentals are set for next Tuesday.”
- “All units at Main St done, two filters were badly clogged, photos on the jobs.”
- “The furnace at 412 Elm is 22 years old and showing wear. Want a replacement estimate before winter?”
Two-way texting keeps those threads in the office, so anyone can pick them up and the history stays with the account.
Bring a Yearly Review
Once a year, sit down with each major account, even if their agreement does not formally renew. Bring a simple review built from your records:
- How many visits you made across how many addresses.
- The repairs you did, and the ones you caught early.
- Equipment that is getting old, from the equipment records, with a plan for replacing it.
- Any changes to pricing, explained plainly.
Reports by account make this easy to prepare. They are covered in Reports by Account: Seeing What Each Commercial HVAC Customer Brings In. Store the review date in a custom field on the client so it does not slip.
Grow the Account at Renewal
Renewal is also the best time to grow. A landlord who only has you on three of their six rentals might add the rest. A manager who only uses you for repairs might add a maintenance plan. A restaurant group might add its new location. Ask, with your records in hand. A manager who has watched you show up on time for a year is far more open to giving you the rest of the portfolio than one hearing your pitch for the first time.
Consistency Wins
There is no trick to keeping commercial accounts. Show up when you said you would, prove the work, bill cleanly and communicate. Do that every month and renewal takes care of itself. For how renewals fit with the rest of commercial service, see the HVACBossPro commercial HVAC software page.
