One Monthly Statement per Account: Billing Property Managers for HVAC Work
Billing is where many small HVAC shops quietly lose property manager accounts. The work was fine. The techs were polite. But every month the manager got a stack of separate invoices, had to figure out which property each one was for, and had to chase down the ones that were missing. Eventually they find a company that sends one clean bill.
Why Managers Hate a Stack of Invoices
Equipment records, covered in Equipment Records per Unit and per Building for Commercial HVAC Accounts, keep the techs organized. Billing keeps the manager organized, and the manager is the one who decides whether you keep the account.
A property manager has to pass every charge through to the right owner. If you send thirty invoices in July, that is thirty documents to open, match to a property, enter and file. If one invoice has the wrong address or no address at all, someone has to call you to sort it out. Multiply that by every vendor the manager uses and you can see why they love the ones who make it easy.
How Monthly Account Billing Works
In HVACBossPro, any client can be set to Monthly. When a property manager, landlord or business is set to Monthly, the jobs your techs complete during the month do not each turn into a separate bill sent to the client. Instead, the client gets one statement each month that covers every property.
Each line on that statement is labeled with the address where the work was done. The manager sees, in one document:
- 412 Elm St — spring tune-up, filter change.
- 1890 Ridge Rd Duplex A — diagnostic, capacitor replaced.
- 1890 Ridge Rd Duplex B — spring tune-up.
- Main St Suite 4 — quarterly PM, filters, belt.
Line items and sales tax carry through from the work. The manager can split the costs by owner without asking you for anything.
Set It Up Once on the Account
Monthly billing is a setting on the client, not something you remember to do every month. That is the advantage of the one-client, many-addresses structure. Every address under the client is covered by the same billing setting, so a rental added next month lands on the same statement automatically.
Not every multi-address customer wants monthly billing. Some landlords like an invoice per job so they can match it to the property right away. Leave those clients on regular invoicing, where the invoice is created when the tech completes the job and the address is on it.
Getting Paid on the Statement
A monthly statement still needs to be paid. HVACBossPro gives you a few ways:
- Card on file: keep the manager's card on file and charge it on a schedule.
- Online payment: the manager can pay from the customer app, where they can also see invoices.
- Past-due follow-up: reminders go out on accounts that run late, so you are not the one making awkward calls.
Talk with the manager about which they prefer before the first statement goes out. Many are happy to keep a card on file once they trust you.
Keep the Lines Clear
A statement is only as clear as the work behind it. A few habits help:
- Name addresses the way the manager does. If they call it “Ridge Duplex A,” use that in the address so it matches their books.
- Use your service list for line items, like diagnostic, tune-up, capacitor, contactor, drain line or coil cleaning, so charges read the same every month.
- Keep a PO number in a custom field if the manager requires one.
- Attach photos to the jobs so any line the manager questions has proof behind it.
When the Manager Has Questions
Even with clean statements, managers will ask about specific charges. Because every line is tied to a job on a specific address, you can open that job and see the date, the tech, the notes and the before and after photos. Share the photo with the manager and the question is closed. Proof is covered in Proof-of-Service Photos Property Managers Actually Want From Their HVAC Company.
Billing as a Sales Tool
When you pitch a new property manager, show them a sample statement. Many managers have never seen a small HVAC company bill this way, and it can tip the decision. It tells them you will be easy to work with, every month, and that their bookkeeper will not be calling you to ask what a charge was for.
