Maintenance Plans for Landlords: Spring and Fall Tune-Ups Across Every Rental

Most landlords call their HVAC company when something breaks. A tenant has no heat, the landlord gets an angry call, and you get an emergency job. That works, but it is the most expensive way for a landlord to own HVAC equipment and the least predictable way for you to run a business. A simple maintenance plan across every rental changes both.

From Emergency Calls to a Plan

Large central plants, discussed in Large Campuses and Chiller Plants: Where HVACBossPro Fits and Where It Does Not, are outside what most small shops do. Rental homes are right in the middle of it, and a maintenance plan is the easiest way to turn a rental owner into steady, scheduled work.

The pitch to a landlord is simple. Tenants rarely change filters. Drain lines clog. Capacitors weaken over a summer. A spring cooling check and a fall heating check catch a lot of that before it turns into a weekend no-heat call, an unhappy tenant and an emergency bill.

What the Plan Covers

Keep the plan easy to understand. A typical spring and fall plan for a rental might include:

Price it per rental per year, like a $179 a year plan per house, and put it on your service list so it reads the same on every estimate and invoice. Whatever you charge, keep it simple enough that a landlord can multiply it by their number of houses in their head.

Set Every Rental to 180 Days

In HVACBossPro, recurring work is set by minimum days between visits. For a spring and fall plan, set each rental's address to 180 days. Each visit comes due on its own and lands on the Waiting List, a live map and list of everything ready to be scheduled. Pins are colored not due yet, due now, and overdue past a 7-day grace.

Tag the landlord's client record Maintenance Plan so you can see at a glance who is on a plan. If a landlord buys another house mid-year, add it under the same client with the same interval, and it joins the plan from its first visit.

Run the Rentals on One Route

When the spring visits come due, open the Waiting List map. A landlord's rentals are often clustered in a few neighborhoods. Group the ones in the same area onto one van on one day, auto-route from the shop, and the tech works through them in order.

Because every rental has an equipment record, the tech knows each filter size before leaving the shop. One stop at the supply house covers the whole route. Filters across a portfolio are covered in Filter Changes Across a Rental Portfolio: Every Size Known Before the Van Leaves.

Tenant Notice

Tune-ups in occupied rentals need notice. Agree with the landlord on who tells the tenant. If you handle it, keep the tenant's contact on the address and let automatic alerts go out the night before, when the tech is next and when the tech arrives. If the landlord handles it, send them the schedule a few days ahead by text.

Put access details in the access notes on each address: lockbox, gate code, pets, where the unit is. Access is covered in Tenant Access, Lockboxes and Keys: Getting Into Rental Units for HVAC Calls.

Photos Prove the Plan Is Worth It

The risk with any maintenance plan is that when nothing breaks, the customer starts to wonder what they are paying for. Photos answer that. A filled-up filter next to the new one, a clogged drain line before and after. Saved with each job, they show the landlord the work was done and why it mattered.

When a tech finds a problem, like a weak capacitor or a rusted drain pan, the photo goes on an estimate. The landlord approves online, and the approved estimate becomes a scheduled job.

Billing the Plan

Plan visits can be billed per visit with a card on file charged on completion, or rolled onto a monthly statement for landlords set to Monthly, with each line labeled with the rental's address. Either way, the landlord can see exactly which houses were serviced.
