HVAC Tune-Up Reminders by Text and Email
A tune-up that nobody is home for is a wasted stop. The tech drives over, knocks, waits, and leaves with nothing done. For indoor work like a furnace in a hall closet or an air handler in the attic, the member has to be there. Reminders are how you make sure they are.
Reminders Protect the Visit and the Payment
An auto-charge on completion, as described in Auto-Charging HVAC Maintenance Agreement Visits to the Card on File, only happens if the visit happens. Reminders are the step before that. They get the member home, the side gate open and the dog inside.
HVACBossPro sends automated reminders and alerts by text and email, and the office can text members back and forth from the same system.
The Alerts Members Can Choose
Members pick which alerts they want. The three that matter most for a tune-up:
- The night before. “Your fall furnace tune-up is tomorrow.” Gives the member time to plan to be home or arrange access.
- When they are next. A heads-up when the tech is finishing the stop before theirs. Time to put the dog away and clear a path to the furnace.
- When the tech arrives. So they know the knock at the door is your tech.
On top of those, on-the-way and arrived texts go out automatically from the tech's phone as they work the route. Members who want to watch can open the customer app and see the live map: “You're stop 12 of 20 — the crew is 5 stops away.”
Why Text and Email Both
Text messages get read quickly, which makes them right for anything time-sensitive: the night-before reminder, the on-the-way message, the arrived alert. Email is better for things members might want to keep or read in more detail, like an invoice, a summary of the visit or a note about what the plan includes.
Using both covers members who never check email and members who ignore texts from numbers they do not recognize. Let members choose, and respect their choice.
Writing Reminders That Work
Short and specific beats long and friendly. A good tune-up reminder says:
- Who it is from, with your company name.
- What is happening: spring AC tune-up, fall furnace tune-up.
- When: the day, and a time window if you give one.
- What you need from them: someone home for indoor access, side gate open, pets inside.
For example: “Northside Heating & Air: your fall furnace tune-up is tomorrow between 8 and 12. Please have someone home so we can reach the furnace. Reply here with any questions.”
Keep texts plain. Fancy punctuation and special characters can make a text count as more than one message, and texts on your plan come out of a monthly allowance of 500, 1,000 or 2,000 segments sent and received on Start, Pro or Crew.
Two-Way Texting for the Replies
Members reply. “Can you come Thursday instead?” “Gate code changed, it's 4410.” “Dog will be in the garage.” Those replies come back to the office through two-way texting, so someone can answer, update the access notes on the address, or drag the visit to another day on the dispatch board.
Updating the address matters. A new gate code that only lives in a text thread is lost by the next visit. Put it in the access notes and it shows on the tech's phone every visit after.
Reminders That Bring Members In
There is a second kind of reminder: telling members their visit has come due before it is booked. When a member's pin turns due on the Waiting List, a quick text from the office offering a day or two is often faster than a phone call, especially for members in an area the van only visits once a week.
This is also where reminders help with overdue members. A friendly text that says “We have not forgotten you, can we book your tune-up for next Tuesday?” keeps a late visit from turning into a cancellation.
Fewer Wasted Trips
Every skipped visit because nobody was home costs a trip, a slot on the route, and a call to rebook. Reminders do not eliminate those, but they cut down on the avoidable ones. The tech gets to the door, the member is there, the furnace is accessible, and the tune-up gets done.
Reminders work best when the tech arrives knowing the equipment too, which is the subject of Equipment Records on Every HVAC Tune-Up: Filter Size and Unit Location Before the Tech Walks In. For how reminders fit into the full agreement system, see the HVAC maintenance agreement software page.
