Filter-Size Records in the HVAC Tech App That Save a Trip Back
It is the most ordinary part of a tune-up and the easiest one to get wrong. The tech walks in with a 16x25x1, pulls the old filter, and it is a 16x20x1. Or a 20x25x4 media filter. Or there are two return grilles and two different filters. Now the tech is either leaving the old filter in, going back to the van hoping there is a spare, or making a trip to the supply house in the middle of a route.
The Smallest Field That Saves the Most Time
Techs who hate paperwork still love anything that saves them a trip, which is why this field wins them over fast, as covered in An HVAC Tech App for Techs Who Hate Paperwork.
In HVACBossPro, filter size is part of the equipment line on every job card: “Central AC + Furnace · Trane XR14 · 3 ton · installed 2012 · filter 16x25x1.” The tech reads it in the driveway and grabs the right filter from the van before walking in. One trip, right filter, done.
What a Wrong Filter Costs
A wrong filter is small, but it ripples:
- A walk back to the van through the customer's house, with the homeowner watching.
- A supply house run if the van does not have the size, which pushes every call after it later.
- A return trip if the tech cannot get the filter that day, which costs a whole visit.
- A filter left undone, which is exactly what the customer is paying the maintenance plan to avoid.
None of those are dramatic, but over a spring full of tune-ups they add up to hours and some unhappy customers.
Stocking the Van From the Day's Cards
The filter size on each card also helps before the day starts. A tune-up tech can scroll through the day's list in the morning, see the filter sizes, and make sure the van has what the route needs. Ten tune-ups with filter sizes on every card is a quick shopping list.
The office can do the same the afternoon before, when the tune-up route is set. That beats finding out at call six that the van is out of 20x20x1.
Getting the Record Right the First Time
The filter size is only useful if it is right. The best time to record it is the first visit, by the tech looking at the actual filter:
- Read the size printed on the filter frame, not a guess based on the grille.
- Count the filters. Two returns means two filters, and the record should say so: “filter 16x25x1 (x2), hall and master.”
- Note the thickness. A 1-inch and a 4-inch filter are not interchangeable.
- Note where it goes. Return grille in the ceiling, slot at the furnace, or a media cabinet. Add it to the access notes if it is not obvious.
The tech writes it in the job note, and the office saves it on the address. From then on, every visit shows it. How to capture all the equipment on that first visit is covered in Recording Equipment on the First Visit: Building the HVAC Record One Call at a Time.
Keeping It Current
Filter sizes change more than you would think:
- The homeowner switches to a thicker media filter after reading about air quality.
- A new system goes in with a different return setup.
- A landlord replaces the grille at a rental.
- Someone simply had the wrong size on file.
When the tech finds a mismatch, they note it: “Filter on file 16x25x1, actual 16x25x4 media.” The office updates the address. Next visit, the right filter comes off the van. That habit is the whole system. One correction fixes every visit after.
The Customer Notices
A tech who walks in with the right filter in hand looks prepared, because they are. A customer on a maintenance plan sees the same thing every visit: the tech knows the house, has what it needs and finishes on time. That consistency is a big part of why customers keep renewing their agreements.
Some customers also ask what size their filter is so they can change it themselves between visits. The office can answer that in seconds from the address record, instead of telling the customer to go pull it out and read the frame.
It is a small field on a small card, and it saves more trips than almost anything else on the tech's phone. To see the filter size alongside the rest of the equipment card and the tech app, visit the HVAC technician app page.
