HVAC Software Pricing: What $59, $89 and $199 a Month Cover
HVAC software pricing is often hard to pin down. Some products want a sales call before they will name a number. Others quote a low starting price and then add charges per tech, per feature and per month of setup. Small heating and air companies deserve a straight answer, so here is one.
Price Is Part of the First Week
Knowing the cost up front is part of planning a smooth start, as laid out in Setting Up HVAC Software in Your First Week: A Day-by-Day Plan. HVACBossPro has three plans:
- Start — $59 a month
- Pro — $89 a month
- Crew — $199 a month
Every plan starts with a 14-day free trial, and no credit card is needed to begin.
What Every Plan Includes
The core of the system is the same on all three plans:
- Equipment records on every address: system type, brand, model, serial, year, tonnage, filter size, unit location and access notes.
- Maintenance agreements that come due on their own, and the Waiting List map.
- The dispatch board with route order and auto-routing.
- The tech app on iPhone and Android, with no app store needed.
- The customer app, with the live route map, invoices and online payment.
- Estimates with online approval and follow-ups.
- Invoicing, card on file, sales tax and monthly statements for property managers and commercial accounts.
- CSV import, reports, multiple addresses per customer, and the employee time clock.
- Unlimited employees (tech app users) and unlimited customers.
Where the Plans Differ
The plans differ mainly in how many office users and trucks you have, how many texts are included, and how much of the customer messaging and billing runs automatically:
- Start ($59): built for an owner-operator with one truck. Two office logins, 500 text segments a month.
- Pro ($89): for a small fleet. Three office logins, two trucks, 1,000 text segments a month. Adds replying to customers by text, the full set of automated alerts, automatic invoice sending and automatic card charging.
- Crew ($199): for multiple trucks and routes. Unlimited office logins and trucks, 2,000 text segments a month, and everything in Pro.
The full side-by-side comparison is on the pricing page.
How the Text Allowance Works
Each plan includes a monthly allowance of text segments, and both texts sent and texts received count toward it. A segment is a standard text of up to 160 plain characters; a longer message uses more than one. Texting is available in the US and Canada.
To plan, think about how many visits you run in a month and which alerts your customers get. Keep texts short and plain, and the allowance goes further. The texting side is covered in Two-Way Texting and Automatic Alerts in HVAC Software.
Picking the Right Plan
A simple way to choose:
- One truck, owner does the work: Start. See HVAC Software for a One-Van Shop: Running Calls, Quotes and Billing Yourself.
- Two trucks, or you want automatic card charging and two-way replies: Pro.
- Three or more trucks, or several people in the office: Crew.
You can start on one plan and move as the company grows. Adding a van is a reason to look at the next plan, not a reason to switch software.
Questions Owners Ask About the Plans
Do I pay per tech? No. Employees, the people who log in to the tech app with a PIN, are unlimited on every plan. Hiring a seasonal helper for summer does not change your bill.
Do I pay per customer or per address? No. Customers and addresses are unlimited on every plan, so a property manager with forty rentals costs you nothing extra to set up.
Is the tech app an add-on? No. It is on every plan, including Start, because on a one-van company the owner is the tech and the field side is the part used most.
Does it work outside the US? HVACBossPro works in the US, Canada, Australia, New Zealand and the UK and bills your customers in their own currency. Customer texting is available in the US and Canada.
Thinking About Value
The right way to judge any HVAC software price is against what it replaces and what it brings in. Every tune-up that would have slipped and now gets done, every invoice charged on the day instead of chased for weeks, and every phone call a tech does not have to make to the office is time and money back.
Compare that against the cost of a single forgotten maintenance customer or a single unbilled ticket. For most small HVAC companies, the software pays its way quickly. To see everything the plans cover, visit the HVAC software page.
