HVAC Invoicing and Card on File: Getting Paid When the Job Is Done
Small HVAC companies rarely lose money on the job. They lose it after the job. The ticket rides around in the van for a week, gets typed into an invoicing tool on Sunday night, goes out by mail or email, and then waits. Some of it gets paid. Some of it gets forgotten. Getting paid on the day of the work fixes most of that.
The Last Step of the Day
The customer conversation, covered in Two-Way Texting and Automatic Alerts in HVAC Software, ends with a bill. In HVACBossPro, that bill is not a separate step done later. It comes out of the job itself.
Invoices Created at Completion
When a tech taps Complete in the tech app, the invoice is created from the job. It carries:
- Line items from your service list: the diagnostic, the capacitor, the drain line clearing, the tune-up.
- Sales tax, applied the way you set it up.
- The address the work was done at, which matters for customers with more than one property.
If the job came from an approved estimate, the invoice matches what the customer approved, so there is no surprise at the end. The office can review and adjust before it goes out if something changed on site.
Card on File
A card on file is the single biggest change most small HVAC shops can make to how fast they get paid. With the customer's card saved:
- Charge on completion. The card can be charged when the tech taps Complete, before the van leaves the driveway.
- Charge on a schedule. Useful for maintenance plans billed on a set schedule.
- No chasing. Nobody has to call the customer for a card number or wait for a check.
Cards get saved in several ways: through the sign-up form on your website, by the customer in the customer app, or by the office. When a card expires, the customer can update it themselves in the customer app.
Online Payment for Everyone Else
Not every customer wants a card on file. For them, the invoice is waiting in the customer app, where they can see the line items and pay online. That covers the customer who was at work while the tech was there, the landlord who wants to see the bill before paying, and the person who just prefers to pay their own way.
Online payment also removes a lot of office time spent taking card numbers over the phone and typing them in by hand.
Past-Due Follow-Up
Some invoices will still go unpaid. HVACBossPro follows up on past-due invoices, so the reminder goes out on schedule instead of when someone in the office finally gets to it. A polite, regular reminder collects more than an angry call months later.
For the invoices that stay stuck, the office can see exactly what is owed and by whom, and pick up the phone or text the customer through two-way texting.
Billing Maintenance Plans
Maintenance agreements can be billed however you sell them. A few common setups:
- Per visit. Each tune-up is invoiced when it is completed, like any other job.
- On a schedule. The plan price is charged to the card on file on a set schedule, and the tune-ups themselves are covered.
- Up front. A yearly price, like $179 a year for two tune-ups, charged when the customer signs up.
Whatever you choose, the card on file and the Waiting List do the remembering. For property managers who want one bill instead of many, see Monthly Statements for Property Managers: One HVAC Bill for Every Rental.
Clear Invoices Get Paid Faster
An invoice the customer understands is an invoice that gets paid without a phone call. A few things help:
- Plain line names. “Replaced run capacitor” instead of a part code.
- The address on every invoice, so a landlord or a customer with a second home knows which property it was for.
- Photos on the job, so if a customer asks what was done, the office can point to the before-and-after pictures.
Habits That Keep Cash Moving
- Ask for a card on every first visit. Make it part of the routine, not an awkward exception.
- Complete jobs in the app, not later. An invoice that waits for the tech to remember is an invoice that waits.
- Check past-due weekly. A short list caught early is easier than a long one caught late.
- Keep your service list current. When prices change, change the list, so estimates and invoices stay consistent.
