Mistakes HVAC Owners Make When Choosing Software
Choosing HVAC software is not a decision most owners make often, which is exactly why it is easy to get wrong. The same mistakes come up again and again in small heating and air companies. None of them are about picking the “wrong brand.” They are about choosing for the wrong reasons.
Learn From the Trial
Making the Most of a 14-Day HVAC Software Free Trial listed the mistakes people make during a trial. These are the bigger ones, made before and after it, that cost small HVAC companies the most time and money.
Mistake 1: Buying for a Company Twice Your Size
The big enterprise HVAC platforms are impressive in a demo. They have screens for call centers, sales pipelines, commission plans and multi-branch reporting. If you run three vans, you will pay for all of that and use a small slice of it.
Worse, bigger systems usually mean bigger setups. Months of implementation is not something a small shop can do in cooling season. Buy for the company you have, with room for the next van or two, not for the company you might be in ten years.
Mistake 2: Choosing Generic Software to Save a Little
The opposite mistake is picking a generic field-service app because it is cheap or a friend in another trade uses it. Generic software will schedule a job and send an invoice. It will not put the system type, model, serial, tonnage and filter size on the address as real fields, and it will not bring tune-ups due on their own.
Within a season, techs are back to calling the office for filter sizes and the maintenance list is back in a spreadsheet. See Equipment Records on Every Job: System, Brand, Model, Serial, Tonnage and Filter Size for what HVAC-specific records should look like.
Mistake 3: Ignoring the Tech App
Owners usually choose software from the office chair, so they judge it by the office screens. But techs use the software more than anyone, and if they will not use it, nothing else works. Jobs do not get completed, invoices do not get created, and the office is back on the phone.
Always hold the tech app in your hand before deciding. Can a tech find the filter size, the unit location and the gate code in a few seconds? Does it run on the phones they already have? Is the day just Start, Skip and Complete, or is it a stack of forms?
Mistake 4: Not Counting the Real Price
A low headline price can turn into a high bill once you add users, techs, texting and setup fees. Before choosing, write down the full monthly cost for your actual company: your number of office people, your number of techs, your text volume.
Also watch for contracts. A long contract on software you have never used in season is a big bet. HVACBossPro's plans are $59, $89 and $199 a month, with employees unlimited on every plan.
Mistake 5: Skipping the Setup Plan
Plenty of companies buy software and never fully switch. Customers get half imported, the whiteboard stays up “just in case,” and a year later the company is paying for software and still running on paper.
The fix is a real start date and a first-week plan: service list, customers, maintenance agreements, techs and vans, then a first live day. Commit to the dispatch board as the only schedule from a set Monday.
Mistake 6: Forgetting the Customer Side
Owners often forget that customers will see the software too: the reminder texts, the on-the-way alert, the estimate on their phone, the invoice and the payment page. Software that makes those clear and simple makes your company look organized. Software that sends confusing messages or clunky payment pages makes it look the opposite.
The customer side also does real work for you. A customer app where people can watch the live route, update their card and pay online takes routine calls off the office. Leave it out of the decision and you miss part of what you are paying for.
During any trial, put yourself on as a customer. Get the texts, open the estimate, pay an invoice from your phone.
Mistake 7: Deciding Alone
The owner makes the final call, but the office manager and at least one tech should try the software before you commit. They will spot problems you will not, and they will be far more willing to use something they helped pick.
Most of these mistakes come down to the same thing: choose based on how your company works every day, with your own people and your own customers.
