The HVAC Sign-Up Form: Customers Pick a Plan and Leave a Card Without a Sales Call
Some customers do not need a quote. They already know what they want: a maintenance plan with two tune-ups a year, or a spring tune-up before the heat arrives. Making them call, wait for a callback, receive an estimate and approve it is four steps where one would do. A sign-up form lets them choose the service, see the price and leave a card, all in one go.
The Other Website Form
The HVAC Website Request Form: Turning Quote Requests Into Form Responses covered the form for people who need something looked at. The sign-up form is for people who are ready to buy. Both land in Form Responses in HVACBossPro, but what happens next is different.
How the Sign-Up Form Works
The sign-up form presents the services and pricing you choose to offer, such as your maintenance plan. The customer picks what they want, fills in their details and service address, and enters a card. The card is captured with the sign-up. The whole thing lands in Form Responses.
From there, one click converts the sign-up into a client, with the address and card already on the record. That step is covered in Converting HVAC Sign-Ups to Clients in One Click.
What to Offer on the Sign-Up Form
The sign-up form works best for services with a clear, fixed price that do not need a diagnosis first:
- Maintenance plans. The most natural fit. A spring and fall tune-up for a yearly price, such as $179 a year.
- Seasonal tune-ups. A one-time spring AC tune-up or fall furnace tune-up.
- Plan levels. If you offer a plan for one system and another for two, list both.
Avoid putting repairs or replacements on the sign-up form. Those need someone to look at the equipment first, which is what the request form and the estimate process are for.
Write the Plan Description for a Stranger
On an estimate, the tech is there to explain. On a sign-up form, the description has to do all the work. Spell out:
- What each visit includes, in plain words.
- How many visits a year, and roughly when.
- Any member benefits you actually provide, like a reduced diagnostic fee.
- When the card will be charged, and how the plan renews.
- How to cancel.
Clear terms up front prevent surprised customers later. The same plain-language approach from Presenting HVAC Quotes Clearly: Line Descriptions Homeowners Actually Understand applies here.
Why Capturing the Card Matters
A sign-up without a card is a maybe. A sign-up with a card is a customer. Capturing the card on the form means:
- The customer has made a real commitment, so fewer sign-ups go cold before the first visit.
- Billing is ready from day one. When the tech completes a visit, the invoice is created and the card on file can be charged.
- Nobody in the office has to call to collect card details over the phone.
Customers can update their card later in the customer app if it expires or they want to use a different one.
After the Sign-Up: Visits Come Due on Their Own
Once the sign-up is converted into a client with a maintenance plan, the plan is set by minimum days between visits, such as 180 days for a spring and fall tune-up. Each visit comes due on the Waiting List, a live map and list of every tune-up that is due, with pins colored as not due yet, due now, or overdue past a 7-day grace. The office books them by area, and the visits flow onto the dispatch board and the tech's phone.
Customers can choose their own alerts in the customer app: a text the night before, when they are next on the route, and when the tech arrives. A new plan member who gets a friendly “on the way” text on their very first visit is off to a good start.
Promoting the Sign-Up Form
Put a link to the sign-up form on your maintenance plan page, in your email signature, and on your invoices. Mention it on every tune-up and repair estimate for customers who are not on a plan yet. In the off-season, a short email to past customers pointing them to the sign-up form is a simple way to fill the spring tune-up schedule before the heat arrives.
Keep the form itself short. Every extra question is a chance for someone on a phone screen to give up halfway through. Equipment details and access notes can be filled in later, on the first visit.
Existing customers have another route: they can sign up for services and pricing directly from the customer app.
