Selling an HVAC Maintenance Plan at the End of a Repair Call
A customer who just went a night without air conditioning is the most open-minded customer you will ever meet. They have felt what a breakdown costs, the system is fresh in their mind, and the tech who fixed it is standing in their kitchen. That is the moment to offer a maintenance plan.
Why the Repair Call
Filling the Waiting List with members is what makes the approach in Filling Shoulder-Season Schedules From the HVAC Tune-Up Waiting List possible. Those members have to come from somewhere, and for most small shops the best source is the repair calls already on the schedule.
Cold calls and mailers ask people to think about their HVAC when nothing is wrong. A repair call reaches people right after something went wrong. The tech has already earned trust by showing up and fixing it. Offering a way to have it looked at twice a year is not a hard sell. It is a natural next step.
What the Tech Says
Techs do not need a script so much as a habit. The best plan offers are short, tied to what the tech just saw, and honest. Something like:
- “Your capacitor was weak, which is what stopped the outdoor unit. A spring tune-up is where we would catch that before it fails.”
- “The coil was pretty dirty. On our plan, we clean it every spring and change your filter both visits.”
- “Plan members get scheduled first when it is busy, and a discount on repairs like the one today.”
Then stop talking. If they are interested, the tech can add the plan right there. If they want to think about it, that is fine too. The follow-up can come by email.
Adding the Plan to the Estimate
In HVACBossPro, estimates are built from your own service list. If you have set up a maintenance plan as a service, with your price and description, it can be added to any estimate like any other line.
A tech finishing a repair can put the plan on an estimate for the customer to approve online. Approved estimates become scheduled jobs, so the first tune-up lands on the schedule without the office retyping anything. If you wrote down the equipment details on the estimate — system type, model, tonnage, filter size, unit location — they carry onto the job and onto every visit after.
For customers who do not decide on the spot, estimate follow-up emails go out on their own. A reminder a few days later, when the house is cool again, is often what tips them over.
Making It Easy to Say Yes
Remove every step you can between interest and sign-up:
- One clear plan. Offering three tiers on a kitchen table slows people down. Lead with your main two-visit plan and mention a yearly option only if price is an issue.
- Card on file. If the customer is paying for the repair by card, the card is already on file. The plan can be charged to the same card.
- A clear first visit. Tell them when their first tune-up will be, for example “we will be back in the fall to check the furnace.”
- Something in writing. The estimate and the invoice show what they bought.
For customers who would rather sign up later on their own, point them to the sign-up form on your website. That route is covered in The HVAC Maintenance Plan Sign-Up Form: Card Captured, Client Created in One Click.
Not Every Call Is the Right Call
Some repair calls are the wrong moment. A customer facing a full system replacement, or one who is upset about the price of today's repair, is not ready to hear about a plan. Techs should read the room. A short mention on the invoice or in the follow-up email can carry the offer without pushing it.
The other mistake is selling something you cannot deliver. If your tune-up van is already behind, adding members means more visits the office has to fit in. Watch the Waiting List. If overdue pins are building, fix that before pushing hard on new sign-ups.
Tag Them the Same Day
When a customer says yes, tag the client Maintenance Plan right away and set the plan on their address. The next time they call, whoever answers sees they are a member. The next time their visit comes due, it shows up on the Waiting List on its own.
Repair calls are a steady source of new members if techs make the offer a habit. The rest of the agreement system takes it from there. See how it all fits on the HVAC maintenance agreement software page.
Turn Repair Calls Into Members
HVACBossPro lets techs add your maintenance plan to an estimate the customer approves online, and the first tune-up lands on the schedule.
