Tracking HVAC Estimates: Knowing Which Quotes Are Open, Approved or Gone Quiet
Every HVAC company has quotes out at any given time. A few repair estimates from this week, a replacement the homeowner is thinking over, a property manager waiting on an owner's approval, a maintenance plan someone said they would sign up for. If those live in a carbon pad, a spreadsheet and three people's email, nobody can answer a simple question: how much work is waiting on a yes?
Tracking estimates is about being able to answer that question, and acting on the answer.
Follow-Up Needs a List
HVAC Estimate Follow-Up Emails: Reminding Customers About Quotes They Have Not Answered covered the automatic reminders that go out on open quotes. Those handle the routine nudging. Tracking is the owner's or office manager's view of the whole picture: what is out, what came in, and what needs a person to step in.
The Three States That Matter
An HVAC estimate is in one of three useful states:
- Open. Sent, not yet answered. The customer is deciding, comparing or has forgotten. Follow-up emails are doing their work.
- Approved. The customer said yes online. In HVACBossPro, the approved estimate has already become the scheduled job, so it shows up on the dispatch board for the office to place on a van and a day.
- Gone quiet. Open for a while, follow-ups sent, no answer. This is the group that needs a human decision: one more personal contact, or let it go.
Because estimates are kept on the customer's record in HVACBossPro, all three are in one place instead of spread across paper and inboxes.
A Simple Weekly Routine
Tracking does not need to be complicated. A short weekly routine works for most shops:
- Check approved work first. Make sure every approved estimate has a day and a van. An approved job without a date is the most expensive kind of lost quote, because the customer already said yes.
- Look at this week's open estimates. These are fresh and the follow-up emails are handling them. Note any large ones.
- Look at quotes that have gone quiet. For the big ones, a replacement, a property manager, a commercial job, make a personal contact by two-way text or phone.
- Clear out the dead ones. If a customer said no, or clearly went elsewhere, note it on their record and stop chasing.
Fifteen minutes on a Monday morning keeps the whole pipeline honest. In the busy season, run a shorter version of the same check every morning, because quotes pile up faster and customers decide faster when the house is hot.
What to Learn From Your Estimates
Over a season, your estimates tell you things worth knowing:
- Which quotes approve easily. Tune-ups and small repairs usually go fast. If they do not, something about the price or the presentation may be off.
- Which quotes stall. If coil cleaning options almost never get picked, the description may not explain why they matter, or the price may be out of line.
- Who quotes well. If one tech's estimates get approved more often, find out what they say in the driveway and share it.
- How fast you send. Quotes sent the same day are generally easier to win than quotes sent days later, as covered in Quoting HVAC Work the Same Day: Why a Fast Estimate Often Beats a Cheap One.
HVACBossPro includes reports, and the estimate history on each customer's record shows what was quoted, when, and what came of it. You do not need a fancy dashboard to learn from that. You need to look at it regularly.
Tracking Requests and Sign-Ups Too
Estimates are not the only thing waiting for action. Requests from your website request form and plans chosen on the sign-up form land in Form Responses. Check them as part of the same routine. A website request that sits for two days is a quote that never got written. A sign-up converts to a client in one click, so there is no reason to leave one waiting. More on that in The HVAC Website Request Form: Turning Quote Requests Into Form Responses.
Tags Help Sort the Pile
Client tags like Maintenance Plan, Commercial or VIP make the list easier to work. A VIP customer's open estimate might deserve a call on day two. A Commercial client's estimate might be waiting on a purchase approval and need a different follow-up rhythm. Custom fields can hold anything else you want to track on a client, like a referral source.
The next guide looks at the quotes that never come back, and the common reasons they get lost. For the full overview of quoting, tracking and scheduling, return to the HVACBossPro HVAC estimate software page.
