Filtering the HVAC Dispatch Board by Van: One Truck's Day at a Glance
An all-vans view is great for deciding who has room. It is not great for answering a simple question like “what is left on Mike's truck today?” For that, you want one van and nothing else. Filtering the dispatch board by van is one of the small habits that makes HVAC dispatch faster, especially on days when the board is crowded.
Why One Van at a Time
The rush-day playbook in No-Heat Calls in a Cold Snap: Dispatching HVAC Vans When Furnaces Quit depends on knowing exactly what each van is carrying. With three or four vans on the board and a dozen jobs each, it is easy to lose track. Filtering to one van cuts out the noise.
In HVACBossPro, the Scheduled List can be filtered by van or truck. You see that van's jobs for the day in route order, with the equipment and access notes on each job. Switch the filter to the next van, or clear it to see everyone again.
What You Can Do With a Single-Van View
Looking at one van at a time makes several dispatch jobs easier:
- Check the load. Count the stops, notice which are attic units or long diagnostics, and decide whether the day is realistic.
- Route it. Auto-route the van Closest First or Furthest First from the shop, then adjust the order by hand.
- Find room. See whether a same-day call can fit, and where in the route it belongs.
- Move work out. Drag a tune-up from this van to another day when the van needs space.
- Answer the tech. When a tech calls with a question about their day, you are looking at exactly what they see on their phone.
Vans, Not Just People
HVAC companies tend to think in trucks. A van carries a specific set of parts, gauges and tools, and some vans are set up for certain kinds of work. Employees in HVACBossPro are assigned to vans, so filtering by van shows the work for whoever is driving that truck today.
This matters when a tech is out sick and someone else takes their van. The jobs stay with the van. The new driver logs in with the company login and their own PIN and sees the van's day without the office rebuilding anything.
Using the Filter With a Repair and Tune-Up Split
Many small HVAC companies run one van on repair calls and one on tune-ups. Filtering by van makes that split easy to manage. The repair van's view shows its calls with gaps for same-day work. The tune-up van's view shows a tight loop of maintenance visits in one area.
When the repair van is full and a new no-cool call comes in, you flip to the tune-up van's view, see what could slide to tomorrow, and decide whether that tech can take the call. The split itself is covered in Splitting Repair Vans From Tune-Up Vans in HVAC Dispatch.
Looking Ahead, One Van at a Time
The filter is not only for today. Looking at one van across the coming days shows whether the week is balanced. A tune-up van with twelve stops on Tuesday and three on Thursday probably has work that should move. A repair van booked solid three days out has no room for the calls that will come in.
Many dispatchers spend a few minutes each afternoon going van by van through tomorrow's board: filter, check the load, route, adjust, next van. It takes less time than it sounds, and it catches problems while there is still time to fix them.
If you find yourself setting the same filter every morning, a saved view can remember it for you. That is covered in Saved Views on the HVAC Dispatch Board: Open the Screen You Use Most in One Click.
Small Habit, Fewer Mix-Ups
Most dispatch mistakes are not dramatic. A tune-up booked on the wrong van, a repair placed at the end of the route when it should be first, a day with too many attic jobs for one tech. Looking at each van's day on its own, before the day starts, catches most of them. It also gives you a clear answer when a customer asks when the tech will be there, because you are reading from the same list the tech is working through.
