Customer Communication for an HVAC Business: Reminders, On-the-Way Texts and Real Replies
Most customer complaints in HVAC are not about the repair. They are about not knowing. Not knowing when the tech is coming. Not knowing whether anyone got the message. Not knowing what was done or why it cost what it did. A small company that communicates well feels bigger and more professional than it is, and customers stay with companies that keep them in the loop.
Communication Is Part of the Procedure
The written steps for each call are covered in Standard Procedures for an HVAC Business: Writing Down How Every Call Runs. Communication belongs in those steps too: who tells the customer what, and when.
For most HVAC visits, a customer wants to hear from you at a handful of moments: when the visit is booked, the night before, when the tech is on the way, when the tech arrives, and when the work is done. Most of that can happen without anyone picking up a phone.
That matters in a small company because the person who would otherwise make those calls is usually the owner or a tech. Every “just checking when you'll be here” call answered from an attic is time not spent on the work. Every one that never has to happen because the customer already got a text is time back.
Decide as a company what you promise customers about communication, and then make the tools keep that promise for you.
Automated Reminders and Alerts
In HVACBossPro, reminders and alerts go out by text and email on their own. Customers choose which alerts they want:
- The night before. “Your tune-up is tomorrow.” Gives them time to clear the closet, put the dog away or arrange to be home.
- When they are next. A heads-up that the tech is coming to them after the current stop.
- When the tech arrives. Sent when the tech taps Start.
The tech app also sends “on the way” and “arrived” texts automatically, so the tech never has to stop and type a message in the driveway.
Two-Way Texting From the Office
Customers reply to texts. They write back “Can you come after 2?” or “The gate code changed” or “Thank you!” Those replies need to go somewhere a person will see them, not to a tech's personal phone while they are in an attic.
With two-way texting, replies come to the office, where whoever is handling the schedule can answer, move the visit or update the access notes on the address. It also keeps the conversation history with the customer, not in someone's pocket.
Every plan includes a monthly text allowance: 500, 1,000 or 2,000 segments, counting texts sent and received, on Start, Pro and Crew. Keep messages short and plain and they go further. Skip fancy punctuation and long sign-offs; a clear sentence with the day and time does the job.
Talking to Customers on Site
Automated texts get the tech to the door. What happens inside is still a conversation, and it is where trust is built or lost:
- Say what you are going to do before you start, in a sentence or two.
- Show, don't just tell. A photo of the dirty coil or the bulging capacitor explains more than any word.
- Give options, not pressure. “This will get you through the season. This is what a long-term fix looks like.”
- Put it in writing. A recommendation in the driveway gets forgotten. An estimate the customer can approve online does not.
After the Visit
When the tech taps Complete, the invoice is created. If there is a card on file, it can be charged right away. If not, the customer can pay online from the customer app. The invoice itself is communication too: clear line items, the sales tax shown, and nothing the customer did not hear about on site.
For estimates, follow-up emails go out on their own, so a customer who meant to think it over gets a gentle reminder instead of silence. For past-due invoices, follow-up goes out too. The Customer App as a Retention Tool for an HVAC Business covers what customers see between visits.
When Things Go Wrong
Every HVAC company runs late, gets a part wrong or has a callback. What customers remember is how you handled it. Tell them early, tell them the truth, and tell them what happens next. A text that says “We're running about an hour behind after an emergency call. Still on for today — reply if that doesn't work” turns a likely complaint into a thank-you.
