Choosing HVAC Estimate Software: What to Check Before You Switch

There is no shortage of software that claims to do HVAC estimates. Some of it is generic field-service software that treats a quote as a page of text. Some of it is one of the big enterprise HVAC platforms, built for companies with call centers and sales departments, and priced like it. And plenty of shops still get by on spreadsheets and paper. If you run a few service vans, the question is which option fits the way you actually quote.

This checklist is what to look at before you commit.

Before You Start Comparing

If you are moving from paper or spreadsheets, read Moving HVAC Estimates Off Paper, Spreadsheets and Email Drafts first. It covers what the switch actually involves, which helps you judge how much setup any software will need. Then work through the questions below with a real quote in hand, like last week's capacitor repair or a replacement you wrote recently, and try writing it in each option during the free trial.

1. Does It Quote From Your Own Service List?

Every estimate should be built from a list of your services at your prices, with your descriptions. Check that you can add your diagnostic, tune-ups, maintenance plan, common repairs and per-unit items like refrigerant per pound, and that picking them onto an estimate is quick. Be cautious of software that forces you into someone else's catalog or price book, or that makes you type every line by hand.

2. Does It Know About Equipment?

HVAC quotes are about specific machines. Look for equipment details you can fill in on the estimate: system type, brand, model, serial, year installed, tonnage, filter size and unit location, plus access notes. Then check whether those details carry onto the job and show on the tech's phone on later visits. If equipment lives only in a notes box, techs will keep showing up without the right filter.

3. Is the Approved Total the Paid Total?

Check that sales tax is figured on the estimate, and that the invoice is built from the same lines. Write a test estimate, approve it, complete the job and look at the invoice. If the numbers do not match without manual work, that problem will repeat on every job.

4. How Does the Customer Say Yes?

Online approval should be simple for the customer, with nothing to print, sign or scan. Then check what happens after approval. In the best case, the approved estimate becomes the scheduled job, with lines, address and equipment carried over. If someone has to retype it, you have only moved the paperwork, not removed it.

5. What Happens When the Customer Goes Quiet?

Look for estimate follow-up emails on quotes the customer has not answered. Follow-up is where many quotes are won or lost, as covered in Why HVAC Quotes Get Lost: The Common Reasons Customers Never Say Yes. Software that sends the estimate and then forgets about it leaves that job to a sticky note.

6. Where Do New Customers Come In?

Check for a website request form and a sign-up form, and where they land. In HVACBossPro both go into Form Responses, the sign-up form captures a card, and one click converts a sign-up into a client. Also check that existing customers can request service and sign up for plans from a customer app.

7. Can It Handle Property Managers and Plans?

If you work for landlords, property managers or small commercial customers, check for one client with many addresses, equipment records per address, and one monthly statement with each line labeled by address. If you sell maintenance plans, check that plan visits come due on their own, by minimum days between visits, rather than living on a reminder list.

8. What Does It Really Cost?

Look at the full price, not the teaser. Ask whether estimates, forms, the tech app, texting and the customer app are included or extra. Ask whether there is a setup fee or a long contract. HVACBossPro is $59, $89 or $199 a month for the Start, Pro and Crew plans, with estimates on every plan and a monthly text allowance of 500, 1,000 or 2,000 segments sent and received. Every plan starts with a 14-day free trial, no credit card needed.

Try It With Real Work

A demo shows what the software can do. A trial shows whether it fits your shop. Set up twenty service list items, import a handful of customers with CSV import, write three real estimates, approve one yourself and follow it through to the job and the invoice. If that feels natural, the rest will follow. If it feels like a fight, keep looking.

This is the last guide in the series. To review everything in one place, including every guide from the service list to sign-ups, go back to the HVACBossPro HVAC estimate software page, or try the live demo from there.
